Create a Booking and Send a Quote
Build a booking, send the customer a quote, and move the job into your pending pipeline.
Use this flow when a customer is ready for pricing, but not ready to pay on the spot.
1. Start a new booking
Go to Bookings and launch a new booking from the dashboard.
This is the right workflow when:
- you are entering an order over the phone
- you are helping a customer manually
- you need to assemble a quote before payment happens
2. Check availability first
Start with the event date and time so InflateMate can show you what inventory is actually available.
Confirm:
- event date
- start and end time
- the inventory items the customer wants
This step matters because the booking flow is tied directly to inventory availability.
3. Add the customer details
After availability looks right, enter the customer information.
Typical details include:
- customer name
- phone
- event location details
If the customer already exists, use their saved details whenever possible so your CRM stays clean.
4. Review the booking summary
Before sending anything, review the summary screen carefully.
Make sure these are correct:
- items included
- event timing
- customer information
- pricing totals
- taxes or fees
This is the point where you decide whether to send a quote or collect payment immediately.
5. Send the quote
When everything looks right, use Send Quote.
InflateMate moves the booking into your follow-up flow so the customer can review it and pay later.
After the quote is sent:
- the booking appears in your pipeline
- the status stays Pending until payment is received
- your team can follow up from the overview page or Bookings list
6. Watch the booking until payment arrives
A quoted booking is not fully locked in until payment is completed.
From there you can:
- resend the invoice if needed
- open the booking from the list or calendar
- monitor its status in Pending
Once the payment succeeds, the booking moves into the confirmed state and the waiver flow can continue.
Quick tip
Use quotes when the customer needs approval from a school, church, or parent before paying. That keeps the booking organized without forcing an immediate checkout.
