Booking Pipeline Overview
Understand how bookings move from temporary holds to paid, confirmed events.
The booking pipeline tells you exactly where every rental stands so your team knows what still needs follow-up.
The three core stages
InflateMate centers the pipeline around three practical states:
- Hold
- Pending
- Confirmed
These stages are used across the dashboard, payment actions, and customer communication flow.
1. Hold
Hold is the temporary reservation state.
This usually happens while a booking is being created or while inventory is being protected before the customer fully checks out.
Use Hold when:
- you are building a booking manually
- you are saving inventory while details are still being finalized
- you do not want the same items double-booked during that window
The length of the hold window can be controlled in Settings → Booking when booking timers are enabled.
2. Pending
Pending means the booking details exist, but payment is still missing or incomplete.
You will commonly see Pending after:
- sending a quote
- sending an invoice
- waiting on the customer to complete payment
Pending is the stage that usually needs active follow-up from your team.
Good next actions here are:
- resend the invoice
- contact the customer
- confirm they received the quote
- check whether the balance due date is approaching
3. Confirmed
Confirmed means the booking is paid enough to lock in the reservation.
Once a booking reaches Confirmed:
- the event is considered booked
- the booking is treated as active inventory demand
- the waiver flow can continue automatically
This is the state you want most future jobs to reach as early as possible.
Where the pipeline shows up in the dashboard
You will see these statuses in:
- the Bookings list
- the Bookings calendar
- the dashboard overview and follow-up prompts
- payment and invoice workflows
That means you can usually understand the next action for a booking just by checking its status.
Best practice
Treat Pending as a working queue, not a final resting place. The faster you move bookings from Pending to Confirmed, the fewer last-minute issues you will have with schedules, payments, and waivers.
